Specter

Last modified:

The Specter integration connects your WooCommerce store with the Specter WMS and POS. It keeps orders, products, stock levels and order statuses in sync between the two systems.

Self-serve onboarding is available for Specter — you can follow the setup steps yourself.

What syncs

DirectionDataGuide
WooCommerce → SpecterOrdersOrders
WooCommerce → SpecterProductsProduct sync
WooCommerce → SpecterShipping methodShipping method mapping
Specter → WooCommerceStock levelsStock level sync
Specter → WooCommerceOrder statusOrder status
Specter → WooCommerceProductsProduct sync

We do not recommend running product sync in both directions at once — choose one system as the master. See each product-sync guide for details.

Before you start

  • Article numbers (SKUs) must not contain å, ä, ö or special characters (such as , . & %).
  • Specter is the master for stock levels; stock is managed in Specter, not WooCommerce.

Prerequisites

  • The Kroconnect WooCommerce Connector plugin is installed and activated.
  • An active Kroconnect account with the following Workflows set up for your store:
    • An Order sync Workflow (WooCommerce → Specter)
    • A Product sync Workflow (WooCommerce → Specter), if you want to sync articles in this direction.
A more common way to sync articles is from Specter to WooCommerce. Fort this, no plugin is needed (instead everything is handled in your Kroconnect account).
    • Order status sync Workflow (Specter → WooCommerce ) is handled directly in your Kroconnect account.
    • Stock sync Workflow (Specter → WooCommerce ) is handled directly in your Kroconnect account.
  • An active Specter account connected to those Workflows.

Integration settings

The Specter settings are found under Kroconnect → Integrations → Specter in the WordPress admin. (Each integration in the Kroconnect WooCommerce Connector plugin has its own settings section).

How orders are sent

When the configured trigger fires, the plugin sends the WooCommerce order to the Kroconnect platform using the Order sync Workflow. Kroconnect creates the order in Specter and returns the Specter order number, which is stored on the WooCommerce order.

Safeguards:

  • An order is never sent twice — if it already has a Specter order number, the plugin skips it.
  • If an order was sent in the last four minutes, a new send is blocked to prevent duplicates.
  • If a send fails (e.g. a temporary network error), the plugin retries automatically in the background. There are up to 3 retries (4 attempts in total), with delays of 5 minutes, 15 minutes, and 60 minutes between them. If all 4 attempts fail, the order is left unsent and the failure is recorded in the order notes and the WooCommerce log.

Sending orders manually

You can always send an order to Specter manually from the WooCommerce order list (in the Actions column):

  1. Hover over the order in the list.
  2. Click the Send order to Kroconnect [Specter] action button.

The action appears only for orders that have not yet been sent (and that are not in pending or failed status). A manual send resets the retry counter, so it starts a fresh attempt chain even if previous automatic attempts failed.

How articles are sent

If a Product sync Workflow ID is configured, products are sent to Specter based on the Product sync action setting:

  • When a product is updated or created — every save triggers a sync.
  • Only when a product is created — only the first save (a new product) is synced.
  • Only when a product is updated — only changes to existing products are synced.
  • Manually — products are never synced automatically.

Variable products send the parent product and each active variation as separate items. Products without an SKU are skipped.

Sending a product manually

Each product edit screen has a Specter Product Actions box in the sidebar with a Sync product button. Click it to send the product (and any variations) to Specter immediately.

A four-minute cooldown applies after a manual sync — the button is disabled during that window to prevent duplicates, and the last manual sync time is shown next to the button.

Managing orders in WooCommerce

When the Specter order number column is enabled, the WooCommerce order list shows a column with the Specter order number next to each synced order. Orders that have not been sent yet show an empty value and keep the Send order to Kroconnect [Specter] action available.

Troubleshooting

  • Enable Enable request logging to write each outgoing request to the WooCommerce log. Find the logs under WooCommerce → Status → Logs, filtered to the kroconnect-specter source. Failed sends are always written to that log (as warnings when logging is off, errors when logging is on); successful sends are only written when logging is enabled.
  • If an order is not syncing automatically, double-check the Order sync action setting and confirm that the Workflow ID matches the one in the Kroconnect platform.
  • If a product is skipped during sync, make sure it has an SKU.
